Team Assistant – Property
My client is looking for a proactive and organised Team Assistant preferably with experience in the Property or Construction sector. You must have at least two years experience offering administrative support to a team of 10 or more. Ideally you will also have previous experience of Personal Assistant duties. Client Details My client is a property investment and development company specialising in urban environments. With 30 years industry knowledge focusing on both commerical and residential projects. Description The duties for the Team Assistant – Property role include: Act as the first point of contact with internal and external stakeholders and to manage contacts, deal with enquiries and queries (acting as the gate-keeper) Provide comprehensive and confidential secretarial and administrative support Ownership of diary management ensuring time is maximised ensuring appropriate forward planning of meetings and other documentation in alignment with the meeting schedule, ensuring that details of venues, directions, attendees and any other relevant information is organised and communicated as necessary Booking and arranging travel, transport and accommodation Collaborate with the PAs across the business ensuring all key business meetings are in the diary and the engagements run smoothly e.g. 1:1s, Board meetings, investor meetings/roadshows Liaising with other team secretaries to ensure the smooth running of the team and office and ongoing effective communication Organise and deal with correspondence, reallocating or dealing with as appropriate Formatting and typing letters, presentations and other correspondence as required Extensive email correspondence Arranging internal and external meetings and their relevant logistics, including room booking, refreshments/lunches and document preparation Review incoming expenses claims for alignment prior to approval Answering telephones in a timely and affable manner, taking comprehensive messages when necessary Providing support and cover to other PAs and secretaries in the office. Co-ordinate Office Management support to the London office as required with other PA / secretarial colleagues Profile The successful candidate for Team Assistant – Property position: Relevant Team Assistant experience – Supporting a team of 10 or more Ideally experience of being exposed to Personal Assistant exposure Experience within working for a Property or Construction company Exceptional organisation skills with attention to detail Strong and confident character Immediately Available Job Offer The successful candidate will have the opportunity of working for an expanding property development company, whilst expanding you your current Team Assistant experience.
